Asset Tag Sizes and Placement: Getting Both Right the First Time

A tag that is slightly too large, or fixed a few centimetres from the wrong spot, quietly slows every count that follows. Here is how to specify both.

Size and position are the two specification decisions organisations think least about and regret most. Both are cheap to get right at sample stage and expensive to correct once several thousand tags are already on equipment.

Why 39mm x 13mm suits most registers

Our standard plate is 39mm wide and 13mm high because that footprint carries a readable identification number, a scannable code and a logo without dominating the item it identifies. It fits the flat area on a laptop palm rest, a monitor bezel, a motor housing and a steel cabinet door.

Smaller formats exist and have their place on instruments and hand tools, but every millimetre removed reduces code density tolerance. Once a code becomes marginal, staff start typing numbers by hand, and the speed advantage of the whole system disappears.

When to specify something larger

Vehicles, transformers, generators and yard plant justify a bigger plate. Counters read those items from a metre or more away, often at an awkward angle, and a larger plate with taller digits saves the crew from climbing or crouching for every record.

Larger plates also give room for a second line of information - a department, a project reference or a warning statement - where a funder or regulator requires it visible on the equipment rather than held only in the register.

  • Laptops, monitors, instruments: compact plates or printed film
  • Office machines, furniture, appliances: standard 39mm x 13mm
  • Plant, vehicles, switchgear: enlarged plates with taller digits
  • Cabling, tools and small fittings: wrap-around or flag labels

Choose a position and keep it

Consistency matters more than any individual position. If every desktop computer is tagged on the front upper right, a counter walks a floor without hunting. If the position varies by whoever applied the tag, the same floor takes two or three times as long.

Write the convention down per asset category and include a photograph in the field brief. Field crews change between exercises, and a documented position is what keeps year three as quick as year one.

Surfaces that defeat adhesive

Curved housings, deeply textured plastics, powder-coated surfaces in poor condition and anything warm to the touch all reduce bond strength. A tag applied there may hold for weeks and lift quietly during the first cleaning cycle.

On those surfaces, move to a flat panel nearby or switch to mechanical fixing. Rivets and screws are unglamorous and they solve vibration, heat and washdown in one decision.

Positions to avoid

Keep tags away from hinges, handles, cable entries, ventilation grilles, hot surfaces and anywhere a trolley or hose regularly passes. Also avoid panels that get removed during service, because a maintenance visit can carry an identity away with it.

Never place a tag where it is covered when the equipment is in normal use. A plate hidden behind a monitor stand or under a stack of paper is functionally missing during a count.

Prove it with a sample run

Order a handful of plates in the sizes you are considering, fix them to the real equipment and ask two colleagues to scan them in ordinary working light. You will know within an hour whether the size is generous enough and the position sensible.

This is also the moment to confirm digit height for the items read from a distance. Sample first, then commit the full quantity with confidence.
