Asset Verification Services Kenya

Physical counts, on-site tagging and register reconciliation that turn an uncertain asset schedule into evidence your auditors and board can rely on.

Registers drift quietly. Equipment is reassigned without a note, a pump is scrapped but never written off, a branch closes and forty items move with nobody recording where. Asset audit services exist to close that gap by checking the schedule against the equipment actually standing in your buildings.

Vexar runs fixed asset tagging services and physical verification from our Nairobi base, working across Kenya and neighbouring markets. Because we manufacture the tags ourselves, a single team can identify unmarked equipment and count it in the same visit rather than waiting on a separate supply order.

The deliverable is not a report that gathers dust. You receive a reconciled register, an exception list with causes grouped, and a clear view of which controls need tightening before the next financial year.

What we deliver

Four services that work as one programme

01

On-site asset tagging

Our field crew comes to your premises, prepares each surface, applies the correct tag and records the item at the moment of tagging. Asset number, description, make, model, serial number, location, custodian and condition are captured together, so the register is built from observation rather than assembled later from procurement paperwork.

Best for first-time tagging, new branches and organisations whose records have fallen behind reality.

02

Asset verification and audit

Asset verification services Kenya finance teams commission before year-end confirm that every recorded item exists, sits where the register says, and remains in usable condition. We scan existing tags, tag anything unidentified and hand back a clear exception list covering items found unrecorded and recorded items that cannot be traced.

Best for pre-audit assurance, board reporting and donor or grant compliance.

03

Asset register reconciliation

Field results rarely match the schedule on the first pass. We reconcile what was counted against your existing register and the general ledger, isolate duplicates and disposals, and return a cleaned file with each difference explained so finance can post adjustments with confidence.

Best for organisations after a merger, system migration, office move or period of rapid growth.

04

Asset management software support

Tags and counts only hold their value if the data lives somewhere usable. We advise on asset management software, structure the import file to match your chosen system, and set up numbering, categories and locations so scanning produces useful records instead of orphaned references.

Best for teams moving off spreadsheets or introducing scanner-based processes.

Building and Maintaining Your Asset Register

A fixed asset register records key details for every tagged asset - tag number, name, serial number, model, cost price, and location. If this is your first time tagging assets, we build the register from scratch; if tagging has been done before, we update your existing register with newly tagged items and refresh details like asset location or condition.

Registers can be delivered as a spreadsheet or integrated into an asset management system, and we can provide a ready-to-use template if you don't already have one.

Commonly tagged asset classes include:

  • Furniture and fittings
  • Computers and IT accessories
  • Office equipment
  • Motor vehicles
  • Machines and tools

Ongoing Asset Verification

Regular asset verification keeps your register accurate over time. It identifies assets that haven't yet been tagged, flags disposed assets still listed on the register, and updates details that change - like location or condition. If new tags are needed, we produce and supply them quickly, so your register stays clean, current, and ready for audits or decision-making.

How an engagement runs

A predictable field process

  1. Stage 1

    Scope and plan

We agree the sites, asset categories, timeline and the data fields to capture. Access arrangements, working hours and any security clearance requirements are settled before mobilisation.

  2. Stage 2

    Mobilise and tag

Teams work location by location, applying tags where identification is missing and scanning what already exists. Progress is reported daily so you always know which floors and departments are complete.

  3. Stage 3

    Reconcile and report

Captured records are matched against your register and ledger. Exceptions are grouped by cause, not just listed, so management can act on them rather than interpret them.

  4. Stage 4

    Hand over and support

You receive the reconciled register, the exception report and any recommendations on controls. We stay available for follow-up counts and replacement tags as the estate changes.

Pair the service with the right tag

Fieldwork is only as durable as the identification left behind. These pages explain the formats we apply most often during verification.
