Barcode vs RFID Asset Tracking: Which Pays Back in African Operations?

RFID is faster to count and far more expensive per item. The break-even point is more specific than most vendors admit - here is how to find yours.

Contactless reading looks irresistible in a demonstration: a reader is waved at a shelf and forty items appear on screen. The question is whether your estate has the density, the movement and the budget to turn that demonstration into savings.

How each technology reads

A barcode or QR code needs line of sight. The reader sees the code, decodes it and returns one identifier at a time, which is entirely adequate when a counter is already standing in front of the asset.

An RFID tag answers a radio signal, so it can be read through a box, from a few metres away, and in large batches. Nobody has to see it, which is the whole advantage and also the source of most implementation surprises.

Cost per item is the deciding factor

Printed and engraved codes cost a small fraction of an equivalent radio tag, and the reading hardware is inexpensive and widely repairable. For a register of a few thousand office and plant items counted once a year, the sums rarely favour radio.

Radio tags also need readers, and readers need trained users and a maintenance path. Budget the whole system rather than the tag price, and compare it against the number of counting hours you would actually save.

  • Barcode or QR: lowest cost per item, cheap readers, phone-friendly
  • RFID: higher cost per item, reader investment, bulk reading
  • Both: same numbering discipline and register controls apply

Where RFID genuinely earns its keep

Dense stores, tool cribs, cable drums, medical consumable rooms and container yards are the classic cases. Items are packed together, counted often, and each count currently consumes days of staff time that radio reading compresses into hours.

Movement control is the other strong case. Where the concern is equipment leaving a gate rather than an annual count, a reader at the exit does something no visual code can do.

Where it disappoints

Metal and liquid interfere with radio, so tags on machinery and full drums need specific standoff constructions and careful testing. A generic label applied straight to a steel housing may read poorly or not at all.

Bulk reading also picks up items you did not intend to count - the adjacent room, the shelf behind you - which turns a clean count into a reconciliation puzzle unless the read range and process are controlled.

The combination most organisations end up with

In practice a strong estate uses visual codes as the backbone: engraved aluminium with barcodes on plant and vehicles, printed film with barcodes or QR indoors, and human-readable numbers on everything so a person can identify an item without any device.

Radio tags are then added to the specific populations where density or gate control justifies them. That layered approach keeps cost per item low across the bulk of the register while buying speed exactly where it pays.

How to test the case before committing

Pick one high-density location, time your current count honestly, then run a pilot with radio tags on the same items and time it again. Include the setup and exception handling, not just the reading.

If the saving does not clearly outweigh the tag and reader cost within two or three counting cycles, spend the money on better visual tags, better placement and better register discipline instead. Those improvements pay back everywhere.
