Moving from Excel to a Barcode Asset Register: Step-by-Step Migration Guide

Spreadsheets are where most registers start. Here is how to turn one into a scannable, reliable barcode asset register without losing history.

Spreadsheet asset register being converted into a barcode asset tracking system

An Excel register is fine for fifty assets in one office. Across several branches and thousands of items, it quietly drifts away from reality. Barcode asset tags give every line a physical anchor, but the migration needs planning.

Why spreadsheets stop working

Multiple copies circulate, edits are not tracked and descriptions like 'HP laptop' match dozens of items. Counting becomes guesswork.

The fix is not a new spreadsheet. It is a unique number on every asset that both the register and the physical item share.

Step 1: Clean the existing register

Merge copies into one master file. Remove duplicate rows, standardise categories and locations, and flag lines with no serial number.

Do not delete questionable rows yet. Mark them for checking during the physical count instead.

Step 2: Design the numbering scheme

Decide between a simple sequence and a prefixed code, for example branch and category followed by a number. Prefixes help staff read a tag, but keep them short.

Never reuse a number. Record every issued range so future orders continue the sequence.

  • Sequential: 000001, 000002, 000003
  • Prefixed: NBO-IT-00125, MSA-FUR-00340
  • Fixed digit count so codes sort correctly

Step 3: Choose the code format

Code 128 is a reliable linear barcode for handheld scanners. DataMatrix packs the same number into a small square for tight spaces. QR codes suit teams scanning with smartphones.

Our barcode asset tags in Kenya can carry any of these, alongside the human-readable number.

Step 4: Tag and capture in the field

Tag room by room. Scan each new tag and record the serial number, location, custodian and condition against it.

Items on the spreadsheet that are not found go on a missing list; items found but not on the spreadsheet go on an unrecorded list.

Step 5: Import into your accounting or ERP system

Export the verified register as CSV with the tag number as the key field. Most systems, including QuickBooks, Sage, SAP Business One, Odoo and Zoho, accept a structured import.

Test with a small batch first, confirm fields map correctly, then load the rest.
