Every record carries a serial number wherever the equipment provides one, because that is the independent evidence linking a tag to a specific unit. Condition and custodian notes are captured at the same time, so the register describes usable equipment rather than a list of purchases.
Exceptions are grouped by cause - transferred, disposed without approval, duplicated during a migration, genuinely untraceable - which lets finance act on them instead of interpreting a flat list of differences.
